GCS partners with small businesses and corporate clients to help them manage business expenses and make large purchases through proprietary payment solutions and expense management tools.
This Executive Assistant role will support multiple Vice President roles of U.S. SME B2B Sales & Solutions Teams. This role will be responsible for a broad range of activities including strategic, engagement, and communication-related initiatives to help ensure business objectives are achieved. The Executive Assistant will also act as a thought partner to the VP/GM as they assist the executive office, ensuring sound business operations, as well as the best possible colleague experience. This is an opportunity for a highly motivated individual to join a dynamic team that works across American Express.
**Overview of Responsibilities:**
+ Enhances VP's effectiveness by providing logistics, scheduling, coordination, administrative, and communications support, teaming as appropriate with members of the executive's team and other EAs to solve problems and share best practices
+ Provide general administrative support to VP and respective team
+ May receive, screen, and sort according to priority all incoming email and keep VP and team apprised to key deadlines
+ Organize on and off-site meetings and may assist managing client events
+ Completes a broad variety of administrative tasks for VP and team, as appropriate
+ Develop presentations for town halls, business partner meetings and strategic initiative updates.
+ Develop agenda and materials for Leadership meetings, All-Hands Calls, Strategy sessions, etc.
+ Participate in staffing requests, headcount, org charts, rosters, and attrition reviews organization wide.
+ Manage projects, teams, schedules, and stakeholders to ensure seamless delivery of a variety of deliverables.
+ Adhere to Blue Box Values and American Express Leadership Behaviors.
+ Be a champion of and for Compliance within U.S. SME B2B Sales & Solutions Teams.
**Required Skills & Qualifications:**
1. Logistics, scheduling, & coordination
2. Maintains VP's appointment schedule by planning and scheduling meetings, events, conferences and teleconferences across multiple time zones; sources offsite meeting locations as necessary while securing F&B and A/V needs.
3. Anticipates and coordinates VP's travel
4. Effectively on-board and off-board employees and ensure that new hires have tools necessary to complete work functions (e.g. ordering laptops, office equipment/supplies, new hire/transfer paperwork, etc.)
5. Communication
6. Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text and data. Creatively produce PowerPoint presentations frequently as well as organize and analyze data in Excel.

2. Maintains confidentiality across multiple segments including but not limited to customer information, business insight and employee personal information
3. Manages a complex calendar with an understanding of business priorities to offer alternatives and make trade-offs

2. Conserves VP’s time by reading, researching, and routing correspondence and drafting/ editing emails and documents
3. Reconciles monthly corporate card charges for immediate leader in a timely manner and may manage or approve respective team’s expense reports; is well versed in expense policies and helps to ensure team stays within budget to support OPEX.
**Additional requirements** :
+ Proven experience providing support to C & D level executives
+ Ability to efficiently prioritize, solve problems independently, escalate appropriately, manage tight deadlines, and handle changing priorities in a dynamic and fast-paced environment
+ Outstanding project management, organizational, and process/workflow skills
+ Proven ability to build relationships, collaborate across functions and band levels, manage stakeholders, influence decisions and drive results
+ A positive, optimistic attitude, eager to tackle difficult challenges
+ High level of emotional intelligence
+ Strong sense of integrity, discretion, and ability to maintain confidentiality
+ Intermediate to advanced computer skills required, including experience with Microsoft Office products including, but not limited to PowerPoint, Excel, Word and Outlook
+ Knowledge of myHR, Concur Expense & Travel, Ariba Buyer, SharePoint, WebEx, ONE.force, Slack
+ Experience working in or with Global Commercial Services organization preferred, but not required
+ Previous experience is a plus, but not required
+ Necessary skills include excellent written and verbal communication skills, flexibility, ability to work effectively on a team, Strong organizational skills, positive attitude, strategic thought leadership, ability to anticipate needs, seeks ways for region to run efficiently, and exudes professional maturity
+ Travel may be required, depending on Business Needs (10 – 15%)
+ Hybrid role - Work in office for 3 days/week
**Qualifications**
Salary Range: $24.05 to $48.10 hourly bonus benefits
